Evoke Fitness App Privacy Policy

Who we are. The Evoke Fitness app is operated by Achieve Results LLC, doing business as Evoke Fitness, 9744 S. Virginia Street, Suite A, Reno, Nevada 89521. Questions about this policy: mena@evokefit.com.

This policy explains what the app collects, why, who can see it, how long we keep it, and what you can do about it. It is written for gym members and staff, not for lawyers. If anything is unclear, email us.

1. What the app is

The Evoke Fitness app is a private tool for the members and staff of one gym. Coaches use it to record body composition scans, body measurements, and strength and cardio results for the members they train. Members can use it to see their own results and goals. There is no public sign up: staff are invited by the gym's owners, and members are added by their coach.

2. What we collect

Account and profile information. Your name, email address, phone number, date of birth, and biological sex (female or male). Biological sex is used only in the body composition calculations. We do not ask for or record gender identity.

Emergency contact. A name, relationship, and phone number that you or your coach enter. It is shared between you, your assigned coach, and the gym's owners so someone can be reached in an emergency.

Health and fitness data. Body composition scan results (weight, body fat percentage, muscle mass and related values), body measurements, strength and cardio test results, and the goals your coach sets with you. Your coach may also record private training notes and medical or injury notes about you. Those notes are visible to your coach and the gym's owners only. They are never shown to you inside the app and are never included in data exports.

Signed liability waiver. Before using the app, members read and sign the gym's liability waiver inside the app. We keep the signed document as a PDF, together with the date and time it was signed, the internet address and device type used to sign it, and a digital fingerprint (hash) of the file so any alteration can be detected. If a member is under 18, a parent or guardian's name, relationship, email address and signature are recorded as well. Under-18 sign up is not currently available inside the app; please see the front desk.

Login and activity records. When you sign in we record the date, time and your role. When a staff member exports data we record who exported what and when. We do not track your activity in other apps or on websites, and the app contains no analytics or advertising software.

Emails. We send account emails (set your password, reset your password, waiver receipt and reminders). We record whether each email was delivered or bounced.

Staff data. Coaches and owners have a name, email address and login records. Coaches can see which members are assigned to them and what they have logged.

3. How we use it

To run the gym's training program: recording and showing your results, setting goals, and letting your coach and the gym's owners do their jobs. To keep the gym's legal records (the signed waiver). To keep the app secure and to contact you about your account.

That is the complete list. We do not sell your data. We do not use it for advertising. We do not share health data with anyone for any purpose other than providing the service described here.

4. Who can see what

Access rules are enforced inside the database for every request, not only on the screen:

  • You can see your own profile, results, goals and signed waiver.
  • Your assigned coach can see and record everything about you, including private notes.
  • The gym's owners can see everything about every member and coach, assign coaches, and export data.
  • Other members and other coaches cannot see your data.

5. Who we share it with

We use a small number of service providers to run the app. They process data on our behalf under their own contractual privacy commitments and are not permitted to use it for their own purposes:

  • Supabase, Inc. provides the database, file storage and sign-in service. Data is stored in the United States.
  • Resend, Inc. delivers our account emails.
  • Apple Inc. distributes the app through the App Store and TestFlight. Apple does not receive your health data from us.

No third party collects information about your activity over time or across other apps or websites through the Evoke Fitness app. We do not share your data with anyone else unless required by law or to protect the safety of members and staff.

6. How long we keep it

We keep your data for as long as you have an account. If the gym deactivates your account (for example, when you stop training), your records are kept so the gym has an accurate history, but you can no longer sign in. You can ask us to delete them (section 8).

Deleting your account yourself. You can permanently delete your account at any time from the Profile screen in the app. Deletion removes your login, your profile, your emergency contact, all of your health and fitness data, your goals, and any private notes about you. The signed liability waiver is kept as the gym's legal record, together with the name and email address it was signed under. Everything else is erased and cannot be recovered. Export records kept for the gym's audit trail are kept but no longer point to you.

If a staff member deletes their account, the members they coached keep their data and are reassigned by an owner.

7. Security

Data is encrypted in transit. Every role's access is enforced by rules inside the database. Staff accounts exist only by invitation from the gym's owners. We review the app's security as part of every change that touches accounts or health data. No system is perfectly secure; if we learn of a breach affecting your data we will notify you as required by law.

8. Your choices and rights

You can view and correct your profile inside the app. You can delete your account inside the app. You can request a copy of your data, ask us to correct something, or ask us to delete records the gym holds about you by emailing mena@evokefit.com. We will respond within 30 days. Nevada residents may use the same address for any request under Nevada privacy law. We do not sell personal information, so there is nothing to opt out of.

9. Children

The app is intended for adults. Members under 18 cannot currently sign up inside the app. If the gym enrolls a minor, a parent or guardian handles the waiver at the front desk, and the same privacy rules apply to the minor's data. We do not knowingly collect data from children under 13.

10. Health information and HIPAA

Evoke Fitness is a gym, not a healthcare provider, and the app is not covered by HIPAA. We treat your health and fitness data with the care described in this policy regardless.

11. Changes to this policy

If we change this policy in a way that matters, we will update the effective date above and tell you in the app or by email before the change takes effect.
